Position Summary:
We are looking for a proactive and experienced Senior Bilingual Executive Assistant to support a high-level executive in a fast-paced tech company. The ideal candidate should be agile, quick, and have at least 5 years of experience as an executive assistant, preferably with a background as a virtual assistant for executives in the United States. This role requires a high level of discretion, problem-solving skills, and the ability to efficiently handle both professional and personal tasks.
Key Responsibilities:
- Calendar Management: Coordinate and manage a complex calendar, including scheduling meetings, appointments, and personal commitments.
- Emails and Communication: Respond to emails and Slack messages in a timely manner. Draft and manage communications, ensuring clear and professional correspondence.
- Travel Coordination: Organize travel arrangements, including flights, hotels, transportation, and itinerary planning. Track frequent flyer miles and points for optimization.
- Event and Activity Planning: Coordinate both business and personal events, including meetings, conferences, social events, and restaurant reservations.
- Financial and Budget Management: Assist with credit card expenses, expense reports, QuickBooks categorization, and tracking household accounts and budgets.
- Personal Support: Manage personal tasks for the executive, such as coordinating family schedules (3 children), overseeing a full-time nanny, and assisting with mortgage applications, insurance, and other personal tasks.
- Social Media Support: Provide light assistance with social media-related tasks as needed.
- Confidentiality and Trust: Maintain the highest level of confidentiality with access to personal and business-sensitive information. The ideal candidate should be highly trustworthy, with references to support their previous work experience.
Skills and Qualifications:
- Minimum of 5 years of experience as an executive assistant, with a focus on virtual assistance for U.S. executives.
- Proven experience managing both professional and personal tasks for high-level executives.
- Proficiency in Google Suite (Docs, Sheets, Calendar, Gmail).
- Familiarity with budget and expense management systems and Excel for managing budgets and expenses.
- Excellent organizational and multitasking skills in a fast-paced environment.
- Strong communication skills and the ability to work effectively with executives aged 30-40, as well as their families.
- Experience coordinating international travel and events.
- Ability to handle confidential information with integrity.
- Strong problem-solving skills, the ability to remain calm under pressure, and being proactive in addressing emergencies or urgent tasks.
- Familiarity with tools like Slack and experience working remotely.
- Proactive and able to anticipate the executive’s needs.
- Fluent English and Spanish (bilingualism is required).
Preferred Qualifications:
- Previous experience supporting executives with family responsibilities (e.g., coordinating with nannies, managing family schedules).
- Experience with social media management is a plus.
- Familiarity with U.S. business culture and experience working with U.S.-based executives.
- Ability to coordinate financial tasks, including managing credit card expenses, tracking miles, and maximizing reward points.
